Auto-Reply Triggers

Automatically respond to leads who reply with a specific keyword.

Auto-reply triggers let you send an instant automated response when a lead replies with a specific word or phrase. This is useful for sending a calendar link, a brochure, or a next-step email immediately when a lead shows interest.

Example use case

Your campaign email ends with: 'Reply YES if you'd like to see a quick demo.' When a lead replies with 'YES', Mail Maya automatically fires a follow-up email within seconds containing your Calendly link.

Setting up a trigger

  1. In the campaign builder's Sequence step, click Add auto-reply trigger
  2. Enter the trigger word or phrase (e.g. 'yes', 'interested', 'sure')
  3. Write the auto-reply email that will be sent when the trigger is detected
  4. Save the trigger

How detection works

Mail Maya checks for trigger words in incoming replies every 30 seconds (for accounts with auto-reply campaigns). Detection is case-insensitive — 'YES', 'Yes', and 'yes' all trigger the response. The auto-reply is sent after a random 5–10 second delay to feel natural.

Tip: Keep your trigger word simple — a single word like 'yes' or 'interested' is better than a phrase. The shorter the trigger, the more likely a lead's reply will contain it naturally.
