How the Campaign Builder Works

A full walkthrough of Mail Maya's 5-step campaign builder.

The campaign builder is a 5-step wizard that takes you from a blank campaign to a fully scheduled, ready-to-launch sequence.

Step 1: Basics

Give your campaign a clear name. This is only visible to you — your leads never see the campaign name. A good name includes the target audience and date (e.g. 'SaaS CTOs – June 2025').

Step 2: Sender

Choose which connected inbox this campaign will send from. All emails in the sequence — including follow-ups — will be sent from this inbox. You can only select one inbox per campaign.

Step 3: Sequence

Build your email steps. Each step has a subject line and body. The first step has no delay (it goes out as soon as the lead enters the sending window). Each subsequent step has a configurable delay — set in days and hours — after the previous step.

Tip: A sequence of 3–5 steps is optimal for most cold outreach. Steps 1 and 2 are your primary pitch; steps 3 onwards are gentle bumps.

Step 4: Leads

Select leads from your existing lead list, or import new ones directly here. You can search and filter leads by status or keyword before adding them.

Step 5: Review & Launch

Set the sending schedule: timezone, which hours of the day emails should go out, and whether to skip weekends. Review a summary of the campaign and click Launch when ready.

Editing after launch

You can pause a campaign at any time and edit its details. Changes apply to leads who have not yet received that particular step. Leads currently mid-sequence continue from where they left off.
